Application Letter for Job Vacancy in Nepal: Format and 6 Ready Samples

Application letter for job vacancy in Nepal: format and six ready samples for fresher, bank, teacher, accountant and receptionist posts

Updated 13 October 2026 (27 Asoj 2083). The six samples on this page were written by Digital Solution. Copy them, change the details in square brackets and make them your own.

An application letter for job vacancy is a one-page letter that tells an employer which post you want, why you fit it and what you have attached. In Nepal it travels with almost every application, whether you hand it in at a school office or attach it to an email.

A good one is short. Four paragraphs, about 150 to 200 words, no life story. The CV carries the detail. The letter only has to make someone want to open it.

This page gives the format first, then six samples for the jobs people ask us about most: a fresher’s first application, a bank job, a teaching post, an accountant, a receptionist, and a short email version.

The format at a glance

PartWhat goes there
DateThe day you send it. Add the Nepali date if the employer uses it
AddresseeTitle of the person named in the vacancy, organisation, address
Subject“Application for the post of [post]”
SalutationDear Sir or Madam, or the name if the notice gives one
Paragraph 1The post, where you saw the vacancy and the date of the notice
Paragraph 2Your qualification and the experience that fits this post
Paragraph 3One or two concrete things you have done
Paragraph 4What is attached, and that you are available for an interview
CloseYours faithfully, name, phone, email, signature

Use “Yours faithfully” when the letter starts with “Dear Sir or Madam”. Use “Yours sincerely” when it starts with a name.

Seven rules before you copy a sample

  1. Name the post exactly as the vacancy does. Include the reference number if the notice has one.
  2. Say where you saw it. Newspaper, job portal or the organisation’s own notice, with the date.
  3. Match two things from the vacancy. If it asks for Tally and two years of experience, mention both in your second paragraph.
  4. Give one number. Students taught, customers served, vouchers processed.
  5. List what you attach. The reader checks the list against the envelope.
  6. Keep it to one page.
  7. Change it for every vacancy. A letter that names the wrong organisation is the fastest way to be rejected.

The subject line matters as much as the body. Put the post and your name in it, as in the sample, so the email can be found again.

Citizenship certificateA copy, only if the vacancy asks for it

Common mistakes

  • Copying a sample without changing it. Employers see the same letter many times in one pile.
  • Opening with “I am writing this letter to…” Start with the post instead.
  • Repeating the whole CV. Pick two facts.
  • Claiming skills the vacancy did not ask about and missing the ones it did.
  • No phone number under the name.
  • Sending from someone else’s email address.
  • Spelling the organisation’s name wrong.

Handwritten or typed?

Type it unless the notice asks for a handwritten application. A typed letter in one plain font, printed on A4, signed by hand in blue or black ink, is the standard. For email, attach the letter as a PDF or write it in the body as in Sample 6.

Using AI to draft your letter

AI tools write a clean first draft in seconds. They also write the same clean draft for everyone. Use one to check grammar and to tighten your sentences, then put your own facts and numbers in.

Frequently asked questions

How do I write an application letter for a job vacancy?

Give the date, the addressee and a subject line naming the post. Then write four short paragraphs: the post and where you saw it, your qualification, one or two things you have done, and what you have attached.

How long should a job application letter be?

One page. About 150 to 200 words in the body is enough.

What is the difference between an application letter and a cover letter?

In everyday use in Nepal they mean the same thing: the letter that goes with your CV. “Cover letter” is the more common term in email applications.

Should I write “Yours faithfully” or “Yours sincerely”?

“Yours faithfully” after “Dear Sir or Madam”. “Yours sincerely” when you address the person by name.

Can I send a job application by email?

Yes, if the vacancy gives an email address. Put the post and your name in the subject line and attach your CV as a PDF.

Do I need to attach my citizenship certificate?

Only if the vacancy asks for it. Send a copy, never the original.

Conclusion

A strong application letter for job vacancy names the post, matches two things the employer asked for, gives one number and lists the attachments. Everything else belongs in the CV.

Pick the sample closest to your job, replace every bracket, read it aloud once and send it. If you want the letter and CV prepared for you, that is a service we offer.

Digital Solution Pvt. Ltd. provides CV, letter and document services. The samples are our own and are free for personal use. Names, organisations and figures in brackets are placeholders. An employer’s own instructions always come first.
