For employers and HR teams, the real SSF work is the monthly contribution deposit cycle: calculating on the right base, depositing on time, and keeping records clean enough to survive any future dispute. The Monthly Cycle at a Glance
- Calculate — 31% of each enrolled worker’s basic salary: 11% deducted from the worker, 20% employer’s share (component breakdown).
- Declare — file the month’s contribution detail in the SSF employer portal (worker list, bases, amounts).
- Deposit — pay the total through the listed banks/payment channels within the deadline for the month.
- Verify — confirm the deposit reflects in the system, worker by worker; keep the voucher/reference.
Getting the Base Right (Where Employers Go Wrong)
- Basic salary, not gross: allowances/bonus/overtime are excluded. But “basic” must be genuine — see next point.
- Minimum-wage floor: with FY 2082/83’s minimum at Rs 19,550, bases below the lawful structure invite compliance findings (this year’s changes).
- New joiners/leavers mid-month: pro-rate per the rules; record joining/exit dates in the system promptly — exits left open block workers’ later claims (why it matters to them).
Deadlines and What Late Costs
Contributions are due within the timeframe SSF sets after each salary month. Late or missed deposits expose the employer to interest/penalties and legal liability — and if amounts were already deducted from salaries, non-deposit becomes a serious violation workers can escalate (they increasingly do — our worker-side guide teaches them exactly how). The cheapest compliance strategy is boring: same date every month, one owner, one checklist.

Keep per-month: payroll register, declaration copy, deposit voucher, and the posted-confirmation. Disputes (worker claims, audits, labour office queries) are won by whoever has the cleaner paper trail — and claims by your workers fail on your gaps (rejection reasons), which is both a legal and a moral problem.
